Under the overall authority of the Director of Institute and direct supervision of the Senior Project Coordinator; the incumbent shall serve as Project Assistant in the International Institute for Capacity Building in Africa (IICBA) and shall assist in the execution of the programme and administrative functions of IICBA in ensuring the application and compliance of the rules, regulations, policies and practices of UNESCO are in place.

Specifically, the incumbent shall:

  • Provide overall secretarial and administrative support in the implementation of different projects in IICBA and closely work and communicate with the colleagues in IICBA for the execution of his/her functions;
  • Contribute to the elaboration of contracts and follow up on timely budget release for effectiveness of programme/project delivery and execution;
  • Provide administrative support to the programme team in the organization of events, meetings and workshops, etc;
  • Contribute to regular monitoring of project implementation to ensure the timely implementation of intended activities and budget;
  • Provide administrative support to programme staff for the execution of various responsibilities and draft non-substantive correspondence;
  • Submit relevant documentations for process of payments of vendors and suppliers to the administration office;
  • Assist in preparation of budget, check completeness, accuracy and compliance of documentation;
  • Assist in the production of a variety of financial reports and statistics related to extra budgetary fund;
  • Assist the programme team in reviewing and preparing documentation on the procurement of goods and services, and support contract tracking;
  • Prepare methodology for contract tracking and ensure liquidation and closure of all relevant contracts and commitment that have elapsed;
  • Process documentation for vendor registration and ensure follow up on vendor related issues for correction;
  • Follow up air tickets purchase and payments, prepare travel authorizations and assemble information pertinent to the purpose of travel.

  • Completed secondary, technical or vocational education.

Work Experience

  • Minimum of five (5) years of relevant work experience in administrative/office support tasks.

Skills & Competencies

  • Ability to maintain effective working relationships with people of different nationalities and cultural backgrounds.
  • Ability to work under pressure, respecting tight deadlines and delivering on the standards required.
  • Good organizational skills as well as ability to establish priorities and to plan, coordinate and monitor work plans.
  • Good drafting and note-taking skills, including the ability to edit documents. 
  • Demonstrable ability to handle tasks with accuracy and professionalism.
  • Sense of confidentiality, discretion, tact and diplomacy.
  • Practical knowledge of Enterprise Resource Planning (ERP) systems.
  • Good ICT skills with proficiency in the use of MS Office (Outlook, Word, Excel, Power point, etc.).


  • Excellent knowledge  (written and spoken) of English.
  • Good knowledge of mechanisms of project management
  • General knowledge of UN Rules, Regulations and administrative procedures


  • Knowledge of local language(s) of the duty station.

UNESCO’s salaries consist of a basic salary and other benefits which may include if applicable: 30 days annual leave, family allowance, medical insurance, pension plan etc.

The approximate annual starting salary for this post is 15,589 US $.
